HI Sulochana and Deepthi, 

I'm Jenny, the VP of MVST.  Thank you for taking on the Social Coordinator role.  We've expanded it to have 2 people take on the role this year, so you'll have each other for support (as well as help from the board)!!  :)

Here's a brief summary of the role:

Activities/Social Coordinator - organizes the team's social events like pancake breakfast, family bbq, movie night, etc. There are usually 4-6 events. You'll of course have volunteers to help you with the food shopping, and volunteer duties during the event. I've done this position in previous years, along with my other duties as VP, so it's definitely do-able! :). And, the nice perk is that you won't have any other volunteer duties during practices or swim meets. Below are the events:

1. Family BBQ - Saturday, April 12, 1-4pm
2. Ice cream social/Picture Day - Wednesday, May 14, 3:30-5pm
3. Movie Night - Wednesday, June 11, 7:30-10pm
4. Swimathon / Pancake breakfast - Tuesday, June 24, 7:00a-11am
5. Spaghetti Dinner / Spirit Day - Wednesday, July 9, 6-8pm
6. End of year banquet / Awards Night - Sunday, July 13, 4-10pm**

**Awards night will be catered, so you'll just need to manage the volunteers for setup, food serving, and cleanup.   

You guys can decide on how you want to split up the coordination, but in the past, we've had just 1 person as the coordinator.  And that person would do the shopping for all the supplies/food, then bring it to the club for the event and then manage the volunteers and coordinate the event.  You'll get a list of volunteers to help you during the event.  You can use those volunteers however you want - ie setting up, food prep, food management, clean up, etc.  You'll want to communicate with those volunteers the time that they need to be at the event and their job role.  

This is a spreadsheet that I used to organize when I did the coordinator a few years ago.  

The first event is April 12 - Family BBQ and parent's meeting.  We usually just serve burgers, veggie burgers, and hot dogs.  And then families bring a dessert or side dish to share.  I believe Deepthi is available for all events except for April 12.  

I'm more than happy to meet with both of you to answer any questions you might have about the role, but it should be pretty straightforward.
